This Privacy Policy describes how the Pulse Group brand (represented by IKIGAI SOLUTION INC, Canada, and its Polish division) collects, stores, processes, and protects the personal data of visitors to pulse-group.eu, as well as clients who contact us through the website, messengers, or email.
This document has been prepared in accordance with the requirements of the European Union's General Data Protection Regulation (GDPR), Canada's federal PIPEDA legislation, and applicable national laws of Poland and Canada.

1.1. Data You Provide Voluntarily

First name, last name, phone number, email address, and messenger username (Telegram, WhatsApp).
Information about the vehicle or equipment you are interested in: make, model, year of manufacture, color, planned budget, and final delivery country.
The contents of your correspondence with our managers via messengers and email.
Official payment details and legal entity information — collected exclusively when preparing the contract and invoice through secure communication channels. We do not store clients' bank card information.

1.2. Data Collected Automatically

IP address, device type, operating system, browser type, and country of access (for website security purposes).
User behavior on the website (pages viewed, clicks, time spent on the website, traffic source) — recorded through analytics systems such as Google Analytics 4.
Cookies and similar tracking technologies.
Advertising attribution data (conversion tags from advertising platforms such as Meta, Google Ads, and others).

2. How We Use Your Data

We process information exclusively for legitimate and business-related purposes of Pulse Group:

Communication: responding promptly to your inquiry, selecting suitable vehicle or equipment options, calculating delivery costs, and conducting negotiations.
Conclusion and execution of transactions: preparing official sales contracts, issuing invoices, and registering ownership of the vehicle or equipment.
International logistics: transferring the minimum necessary set of data (recipient's name, address, equipment VIN) to shipping lines, air freight forwarders, and customs brokers in order to arrange delivery to your city.
Marketing: informing you about new vehicles arriving at our warehouse, special offers, or company news (only with your prior consent; you may unsubscribe at any time).
Legal compliance: maintaining accounting and tax records and responding to official requests from regulatory authorities in Poland (EU) and Canada.

3. Who We Share Your Data With

Pulse Group never sells or transfers your personal data to third parties for marketing purposes. Information may only be shared with the following counterparties when necessary to fulfill our obligations:

Logistics partners (shipping companies, air freight forwarders, customs brokers) — to organize international transportation of goods.
Dealer networks and auctions in Canada and Europe — to verify equipment specifications, vehicle history, and confirmation of purchase.
Banks and payment service providers — to process international SWIFT/Wire transfers through secure banking protocols.
Technical service providers: website hosting, email services (Google Workspace), and analytics systems (Google Analytics).
Where required by law: tax authorities in Poland and Canada, customs authorities, and law enforcement agencies upon receipt of an official legal request.

4. Data Retention Periods

Clients with ongoing transactions: data is stored throughout the entire sourcing and delivery period plus 12 months after completion of the contract.
Accounting and tax records: primary documents, invoices, and contracts are retained for 5–7 years in accordance with financial legislation in Poland and Canada.
Leads without completed transactions: contact details are stored for up to 24 months, after which they are automatically deleted or anonymized.

5. User Rights (Under GDPR and PIPEDA)

You have full control over your data and have the right to:

Access: request confirmation that your personal data is being processed and obtain a copy of your personal data.
Rectification: request the correction or updating of outdated or inaccurate information.
Erasure ("Right to Be Forgotten"): request the complete deletion of your data from our systems, except for data that we are legally required to retain for tax and accounting purposes.
Withdraw consent: withdraw your consent to receive marketing communications at any time.
